Choosing the Best Invoicing Tools for 2019
- Not all companies need a full suite of financial software when some basic invoicing tools will do what they need most.
- The best invoicing software tools all offer full online payment support but vary widely in integration and pricing.
- SyncLedgers helps business owners by reconciling their invoices with their bookkeeping ledgers, with the software of their choice.
Many small businesses may not find it necessary to purchase a whole suite of financial management software. They might not have enough employees on payroll to justify the costs of a subscription for that purpose. Likewise, they may not need the kind of advanced tax preparation programs that major corporations find so useful. One thing they almost certainly will need, though, are some decent invoicing tools.
Anyone who deals with clients needs a way to keep a careful record of each transaction. Not only do you need records, put your clients do, too. Sending invoices helps both parties have an accurate record of their interactions. It also helps to promote accountability. As long as everyone involves knows who owes what to whom, it’s much more likely that everyone receives their payments and what they’re paying for.
Businesses can generate invoices with the most basic word processing tools if they want to, but they’ll still have to manually send them by mail or email to their clients. Payment, too, is then a matter of time-consuming logistics.
Fortunately, many new software solutions exist that allow business owners to both generate highly detailed invoices and enable their clients to pay them online, instantly.
We’re taking a look at some of the best of these tools.
2019’s Top Invoicing Tools
FreshBooks
The majority of small businesses are probably going to end up finding that FreshBooks is their best option. It makes creating good and professional invoices easy. It also provides features that make it easier to generate them for repeat customers and clients with recurring payment schedules. They offer three subscription plans with more features, for more customers, the more you pay.
Viewpost
This system allows businesses to integrate their invoicing tools easily with various versions of QuickBooks. If you’re already using those other Intuit products, this may be your best option. Their payment schedule is linked to the types and values of payments you receive from other businesses or individual customers.
Invoicera
If you find that you often need to keep track of reimbursements in your business, Invoicera’s easy expense management tool may be just what you need. They offer a free version of their software that includes all the same features of the more premium versions, but for a very limited number of customers.
InfoFloPay
This invoicing tool includes a built-in customer relationship management system. If you wish that your CRM had an option that helped you generate invoices as well as tracking leads and customers, try approaching it from the other direction with this software. Their pricing ranges from $15 to $30 per user, per month, with increasing numbers of features.
Zoho Invoice
If you’re looking for invoicing tools and you happen to already be using any of Zoho’s other software solutions, this one’s a no-brainer. They offer solutions like CRM, email, app developer software, accounting systems, and project management tools. Their free version includes all of the premium features, but the paid versions increase the numbers of users and customers you can handle.
Envoice
If your business has an e-commerce component, and especially if it’s entirely online, then this might provide your best option for sales tracking. They have $12, $17, and $25 per month subscription plans. The latter two both offer unlimited users and customers, and the $25 version adds some useful online marketing features.
Using SyncLedgers to Align Invoicing with Bookkeeping
It’s very important to remember that most of these invoicing tools, while very helpful, won’t do all of your work for you. Any invoices you send out should also be reflected in your bookkeeping ledgers.
Some of these invoicing tools do integrate directly with bookkeeping and accounting software, especially Viewpost and Zoho. That doesn’t mean it’s all automatic. You’ll still have to make entries and at least review the parts that do autofill.
That’s work that you don’t have to do yourself. SyncLedgers helps business owners reconcile all their invoicing with their overall bookkeeping at a much lower cost than doing it in-house. All you have to do is send us the documents, whether scanned in from your mobile device or just emailed. We do the rest. We balance your books and generate clear and transparent reports that let you see where your money is, and why it’s there.
